Town Celebrations Committee
October 7, 2015

Business
• Meeting was called to order at 7 p.m. Lorain declared that a quorum was present.
• The minutes of September 23, 2015 were approved.
Dance Around the World, Saturday, October 24, 2015, Lexington High School
• Kim Coburn gave an update on plans for this program. The planning committee is meeting weekly on
Tuesday evenings at 7:30 at the Community Center.
• Kim made a request for volunteers to help with public relations and advertising; decorating; and
working the night of the performance on many details.
Veterans' Breakfast, Saturday, October 31, 2015, Keilty Hall
• Inviting the Police Color Guard to the breakfast was discussed. It was decided not to invite them to the
breakfast because the Lexington Minutemen will post the colors at the breakfast. Lorain will ask Paul
Jenkins to confirm that the Police Color Guard will participate in the Veterans Day parade.
• The William Diamond Jr. Fife and Drum Corp will perform the National Anthem. A boom box will be
needed to play the service songs at the breakfast.
• TCC members will all sit at different tables at the breakfast.
• VIP Guests: Linda and Lorain will create a list of VIPs to be seated at the VIP tables at the breakfast.
Lorain is still waiting for confirmations from a number of VIPs that they will be attending. It was
determined that at least 2 tables will be needed for the VIPs. Linda volunteered to assist in creating a
seating plan for the VIP tables.
• Gina Rada invited Francisco Urena, Secretary of the MA Department of Veterans Services, to
the breakfast and he accepted.
• Check -in table: The sheet for check -ins should include a column for indicating what armed service the
attendees belonged to. This information will help to clean up the TCC database for future use. We have
6 committee member volunteers to staff the table and to write nametags for guests.
• Tickets: It was decided not to make tickets available to currently serving military from Hanscom.
Lorain will work with Gina Rada to control ticket sales at the Community Center in order to give
priority to actual veterans.
• Door prizes: Sandy Podgorski reported that 17 local businesses have contributed door prizes as of 10/7.
More prizes may still come in. Each donor will receive a thank you letter from the committee.
• Table centerpieces: Bob Tracey volunteered to approach Wagon Wheel with request for loan of small
plants for centerpieces. Plants will be returned after the breakfast.
• Lorain led a discussion of details on the Veterans Breakfast checklist, confirming who is assigned to
which items. Set up for the breakfast will be on 10/30 at 3 pm at Keilty Hall.
• The committee discussed the timing of the breakfast activities. Rich McDonough will be the MC for the
event. Lorain and Linda are developing a script for Rich to use.
Veterans' Day Parade and Ceremonies, Wednesday, November 11, 2015
• Lorain reviewed items on the proposed Parade roster and agenda for the indoor ceremonies. It is still to
be determined whether the indoor ceremonies will be at Cary Hall or at the High School.
• Planning will continue at the next meeting.
The next meeting of the TCC is scheduled for October 21, 2015.
The meeting was adjourned at 8:45 p.m.
