Meeting called to order at 7:15 pm.
REPORTS
Treasurer's Report
The meeting began with the Treasurer's report noting no additional activity since last month.
Cristina emailed all grantees with a blank VV9 form for reimbursement in accordance with the town
accountant's need to have a W9 for any person or organization who has not been a ventor with the town
(read: already has a VV9 on file) before.
Cristina will follow up by phone with Belmont Film who needs to supply their VV9 for reimbursement.
Diana would like to have a buddy for a year as treasurer. This person would shadow her, and take over as
Treasurer next year
VVebsite & Social Media Report
Diana has learned that the Town can pay for renewing fees for LCA website. It was noted that the LCA
website information for how to log in (to change accounts payable), and to log in to the web server and
domain will be sent by Zoe to Diana and Cristina to keep this information available to the Council. Diana will
need this information in advance of December when it is time for renewal. Diana volunteered to research
what the most cost efficient domain, host, and software design programs might be going forward.
Matt has not made any progress with Skip regarding the donation button
PROJECTS
• Parade Debrief: it rained. Hidden Treasures cards have been passed out through town instead of
parade; Bird cages will delivered to Willard Woods and Lincoln Park for the arts walk on 5/16.
• Painted Pianos Debrief: Matt painted one at Depot, others at Lexx, Grain Mill Alley, Visitors
Center,
• Mayday at Revolutionary Revelry Debrief: a lot of good PR for Hidden Treasures; very cold
• Hidden Treasures Report: Hidden Treasures was reviewed prior to it happening the following
Saturday. Locations, and artists were noted, as well as event volunteers, and volunteers still
needed. PR materials were reviewed, including maps at the library, social media, lawn signs and
fliers.
• Grantee Reception: The 2015 LCC Grantee Reception organizational details were discussed,
which included a table of LCA and grantee information (including Hidden Treasures arts walk),
cookies and seltzer on a table at the town BBQ from 12 -1. Revolution Revelry provides table and
tent; we will bring cards, banners, community survey to Fletcher Park (Lex Farmers Market).
Purpose is to thank grantees publicly; let people understand what we have funded; promote our
program; give us an opportunity to have community complete questionnaire which needs to be
done.
• Discovery Day Report: event was organized to include getting a $65 check to the Lexington
Retailers Assoc. to cover a tent on the day. Tables and chairs will be loaned from the Munroe
Center for the Arts. Volunteers were assigned. Cristina will get promotional materials to Seetha
during the week.
• Community Input Survey Report: the survey is online, as well as available in paper form. Jean
has passed around paper copies at LACS, and Cristina has posted the online survey URL both on
Hidden Treasures informational cards, and on the Facebook page (cover photo). Greeters at the
Hidden Treasures event will also have survey's to pass out. At this time, there are 13 surveys
received. Next September we can review the replies so that we can adjust our priorities as needed.
New Business items were put on hold for next meeting's agenda.
