Agenda Minutes April 15,2015
Reed Room,Town Office Building
In attendance. Matt Pronchick,Diana South,Cristina Burwell,Lynne Klemmer,Seetha Ramnath,Jean
Hart,Emily Passman
Absent: Leslie Masson,Jessie Steigerwald,Cheryl Meadow,Regie Gibson O'Hare
Cristina called the meeting to order at 7 10pm.
Diana made a motion to accept Oct.minutes, Emily seconded,no opposition-Approved.
Treasurer's Report
• No material changes to report- Belmont World Films need to fill out tax form,Cristina to
email them to settle
• Receipts from the"birds"project(for Patriot's Day and Discovery Day events)should be
submitted to Diana. Lynne and Emily will follow up Reimbursement form will be on Google
Docs. Discussion of tax exemption form to be used for purchases for arts projects. Emily
mentioned one can get a tax number(EIN)that can be used for purchases,but purchases of
paintings will include sales tax.
Website
• Matt has called several times the person responsible for putting buttons on Facebook for
"Donations",to include a credit card payment option.We want what was done for the 300th
celebrations. Grantees were already updated,and now need a place to update maps.
Location of the links can be placed at the bottom of the page,budget for Hidden Treasures is
limited to$200 Jean also mentioned they can be placed on the LACS website. Freedom
Heritage Site is also possible but 45 towns are being coordinated,Diana mentioned blogs are
also an option.Goal is May 1st to create pdf,they need by April 26th if possible (tight due to
Open Studios deadlines).
• Jean has combined en Plein Aire and Hidden Treasures on one informational brochure.
Diana has received costs paid through 2015,update is$14 99 annually for the domain name
(Arts Lexington.org),roughly$120 per year needs to be approved or we need to identify an
alternative.We will take it off autopay,and Diana will revert to the Town of Lexington for an
opinion for the website maintenance.This is a large cut of the Admin budget. Go Daddy is
currently used,Weebly might be another option as discussed last meeting-need to decide
whether Dreamweaver is required for the functionality Diana will speak with Cheryl and
will come back with a recommendation.Web hosting is by JustHost.
Old Business:
Patriots Day
• Cristina-weather and preparation for the birds project to enter Patriots day was discussed,
further design specs with the cage were discussed
• Lynne has agreed that one (or more)bird(s)can be used for Hidden Treasures

• Volunteers have been identified-2 people hand out cards for Hidden Treasures,2 Girl
Scouts,2 neighbors,friend of can hold the sign,Leo and Lynne can push the cages,Diana will
help clean-up following the Parade
• Floats must be in position by 11 45am,assemble Sunday night at Cristina's house (Cristina
and Diana have offered),11 15am on Monday for wheeling to start location
• Bring cup-holders,no back packs-hope that the water golf carts are available!
Painting Pianos
• Revolutionary Revelries have not been approved yet,awaiting word/logistics before moving
forward(potential locations Munroe,LACs)
• Matt has volunteered to paint a piano (difficult to coordinate with others due to Open
Studios timing)-preference near or around Depot Square,or Grain Alley
• May Day(May 1St)-kickoff for Revolutionary Revelries-we could make origami flowers
Hidden Treasures
• Banners are in progress
• Seetha will confirm whether her au pair can volunteer to help on May 16th
• Still looking for weekend performers-Lex farms,Lincoln park and Willards Woods are all
venues for performing arts-options are all-day,portion of the day,an hour-all are possible
• Back up-4 detailed maps will be provided on the website so people can go directly to things
that interests them. Matt has confirmed public art locations already,galleries are listed
• Gallery at First Parish church will have a showing area very soon
Community Survey
• Shared with the Council,encouraged to complete,and will see what comes back
Grantee Reception
• No plans yet,with LACS to hold it this year(Emily mentioned it worked fine at Aloft)-too
late to invite attendees since it will be held on 4/24/15
• Last year,Mass cultural council attendee thought it was an incredible event because of its
collaborative spirit
• Great difference in opinion as to whether the event was successful last year and perhaps
next year,both organizations can work together sooner in the year to find a compromise
• Possibility to have a"Meet and Greet"with the grantee artists at the BBQ(Revolutionary
Revelries)in Fletcher Park-May 16th
Discovery Day
• Cristina has confirmed a folding table,chairs,tent,banner are available.
• Emily has confirmed Munroe has these available
• Seetha to check on who is available to put up banner
• Next meeting-volunteers will be identified at May meeting
New Business:
• None
