HomeMy WebLinkAbout2015-01-12-ARTS-min VD ro"'"Ilio Lexington Council for the Arts Meeting Minutes 111'1,111111lllllllllllllll m.. 1111 i ii it i 111 1111 PreMeeting • Distribute last meeting's minutes for review Chair Cristina Burwell called the meeting to order at 7.07 p m Present: Matt Pronchick, Jean Hart, Emily Passman, Zoe Perry-Wood, Lynne Klemmer, Cristina Burwell, Diana South, Leslie Masson Absent& Missed Cheryl Meadow, Seetha Rammath Secretary's Report • Call for amendments or corrections to previous meeting's minutes Diana moved and Leslie seconded motion to approve minutes from December 8, 2014 minutes Jessie invited any edits and asked whether we are comfortable with the level of details Discussion followed about a recent inquiry that came in over Facebook. The inquiry was about the breakdown of our grant awards and total amount grants not made to other LCCs Cristina replied on their FB page directing them to public records and invited them to email her directly Our group agreed that our minutes have good level of detail and that outside groups with questions should follow proper channels through official address, or message or email to our Chair The group making inquiry is called Cecilia'sChoice After Cristina replied to them on FB, the comment was gone (assuming they edited out her reply) We feel we must retain a public record as on FB the group had the chance to delete it. The links to LCA minutes and annual report was added to LCA's Facebook page for permanent access Vote to approve minutes was unanimous. Treasurer's Report • Diana confirms annual report is submitted and there are no major changes • Current balances remain the same Cristina noted that next year we will begin the Annual Report process earlier and we will submit a section of the annual report before we send out denial letters We internally confirmed out account balances, but in the future we will submit all of the pertinent information through the MCC website as soon as we have voted it in our meeting Chairperson's Report • Annual Report has been submitted, and a print-out was passed around Details can also be viewed on the LCC website page 1 • 2015 Grantees Cristina read through upcoming grantee events and introduced topic of publicity for this year's recipients Publicity/PR • Cristina asked Jean if she would take this on as overseer Happily, Jean said yes • Jean will make up a press release for Colonial Times and Minuteman Jean also and notes that it may be too late for submission for January/February issue May need to wait until March issue Grantee Reception-the topic of if LCA could piaav-back on LOS reception like last year • Discussion about Open Studios and connection between LCA and LOS and how it was established We contributed $300 00 toward expenses and the rental was free How and where should our grantee reception take place? Last year four grantees were enthusiastic about attending One idea presented was to acknowledge the LCA grant recipients but not have them speak, so as to not to hijack the LOS reception Jean will submit a notice to Lexmedia to share news about our current grantees and their upcoming events, and will include the LCA graphic(found on LCA Google Drive). Emily will send Cristina the emails of LOS organizers, Judith Cooper& Beverly Gomes, to make contact about the reception Old Business • Website& FB Update -Zoe was aiming to be here tonight but had two meetings to attend at this time -The interests for web and social media were discussed LCA needs to update its website with new grantees and current LCA members [7 42 Zoe arrived] Zoe asked Cristina to provide a digital listing of grantee information to put on the website Facebook was noted as offering a good way to share information through different individuals and organizations Council members discussed the need to be able to donate online How do you donate Who we are (LCA members) Grantees Matt shared that it would be possible to do this with FB We could have a FB calendar as well Jessie nominated Matt to work on FB and see what he could improve He accepted the nomination and the group was unanimous in supporting Matt to review the site and see how he could make our FB page even more vibrant. 2 New Business • Brainstorming LCA Visibility Projects The Council discussed looking toward 2015 as the year of increasing visibility in anticipation of 2016 having a greater focus on fundraising This year will also serve to record community involvement, and how Lexingtonians would like to see funds spent by LCA. -2015 focus on visibility We have many ways to publicize LCA MLK Day-January Hidden Treasurers- May Wear buttons, T-shirts Golden Tricornes—April Discovery Day- May • Patriots' Day Parade-April Cristina shared that there might be option to make a giant puppet— possibly papier mache—for the Patriots' Day paradee Emily brainstormed having three discarded baby- carriages so you can build up and off the wheels Diana wondered about worn shopping carts that might be donated Diana suggested stilt-walker and Matt considered it (at last momentarily). Brainstorm around large puppet—giant and crazy Big Matisse cut-outs A ballet dancer Muses No muse for painting Dance, Painting, Music Parade point person Happy birds?! Lynne noted wind factor Dr Seuss birds Colors Birds and Blooms magazine Birds of a feather Giant origami birds Cranes Giant origami boats Waterproofed Bird materials Foam birds Lexington turkeys Viennese bird masks Giant nest would be nice Leslie has large hosta stalks Emily has tall grasses Cristina will ask Barbara Simkowski if we could use room to create puppets Recyclebirds Use up old coffee cup pods and plastic milk jugs and fabric scraps Trading cards were good could add poetry verses from Lexington poets word balloons Maker spaces tap into Maker movement for all ages including adults (Zoe headed out at 8.06) Announcements • MLK Day of Service Jan 19th www lexinatonmlkeora Morning Matt, Cristina Afternoon 1 30—3.00 Jean, Leslie • Gail Leibhaber is having a show at Lexmedia with a reception on Saturday • CAAL is having a major event on January 24th—a day of Chinese Culture At Cary Library 1 00—2 30 and in the evening 7 00—9.00 p m 3 • LACS is hosting a show The Spirit of the East January 31st— February 15th • NEXT MEETING February 9, 2014 Parker Room, Town Office Building Leslie moved, and Lynne seconded a motion to adjourn the meeting at 8:27 p m and it was unanimously approved 4
