Approved Minutes for meeting held January 13, 2014
Attendance
Present—Cheryl Meadow, Lynne Klemmer, Leslie Masson, Diana South, Cnstma Burwell,
Jessie Steigerwald.
Absent—Zoe Perry-Wood, Emily Passman, Regie 0-Hare Gibson, Victoria Campos, Jean
Hart.
Minutes were taken by Jessie Steigerwald
Cnstma Burwell, Chair, convened the meeting at 7.06 p.m. Cnstma distributed
FANTASTIC Lexington Council for the Arts buttons Members were unanimously cheered
by the colorful buttons and the meeting came to order
Secretary's report—Jessie Steic erwald
Minutes from 12 9 13 had been distributed prior to the meeting and reviewed by members
Leslie Masson made a motion to approve the minutes and Diana South seconded the motion.
The minutes were approved unanimously and will be submitted to town archives by Jessie
Steigerwald.
Today's minutes will be circulated in a draft form within the next three days and members
are asked to please send suggested edits as soon as possible
The Town Clerk's office awaits minutes from March 11, April 8, May 20 Jessie will send
template for Cnstma, Lynne and Zoe to use to complete May 20th as they were both present
at Cary Library for that meeting. Cnstma will circulate March 11, Apnl 8 for a vote at next
month's meeting.
Treasurer's report Diana South
o 2014 MCC Funds available to grant $4,425 00
o Local revenue $2059 75
o Outstanding 2013 reimbursements
Cnstma will send postcard to alert people that final deadline is end of February 2014
This relates to the following grants
Munroe Center—$400 00 - staged readings of new plays
Ellen Gitelman - $150 00 —film festival
Pradeep Shukla - $350 00 Music Conference
Lexington Symphony Orchestra - $355 00 - for 300th Closing Ceremony
Dance Inn Productions - $300 00 - Jump Rhythm Jazz Company

Annual Report Update
Diana showed website platform for annual report on the room's projector Diana
completed submission of annual report during the meeting.
2013 Grants
Five outstanding grants remain, see Treasurer's Report, above Cnstma is sending
postcard reminders that reimbursements are due end of Feb 2014 Failure to meet
deadline results in loss of funds Extension requests must be made by same date
2014 Grants (Denial Letters)
Cnstma and Jessie sent Disapproval Letters on December 12, 2013 Applicants were
invited to request reconsideration if they felt grants had met our cntena. None were
returned for reconsideration. We are now in position to send out the grant award
letters
Current Membership
Victoria Campos will be taking on new projects and therefore will be stepping down
from the Council We will have two vacancies When we consider possible new
members, we suggest asking two new people to come on board for a one year term to
begin staggering terms Lynne Pease suggested selecting a member to shorten his/her
term to avoid having so many seats risk turning over in the same year Group felt it
would be better to have one or two of us volunteer, or to bring on two new people
with the one year term.
2014 Overview
Members had brief discussion of upcoming projects with possible outline of mayor
topics for upcoming meetings, including
February—Fundraising; March 10—Participation in Patnots' Day Parade
April 14 —Open Studios (April 26th- 27th) May 12, June 9
We would like to be able to improve Lexington community arts calendar and
discussed reaching out to Fred Johnson and Deb Jackson to learn status of their
efforts to engage in an annual community calendar discussion. Cheryl will contact
Deb, Jessie will contact Fred.
Old business
Outstanding Action Items were updated by Cristina
Bridge school reimbursement—Cnstma contacted Annie Roy
LCO grant—Cnstma will put on agenda for future meeting
Folk dance discrepancy—Reimbursed for $250 00 and listed on proper form
Gallery Schedule—Zoe & Emily are communicating about show that is up at Munroe
through this month. Open Studios will be in the space next.
LCC Funding#of grants—Cnstma reviewed this with Jennifer Attwood at MCC
and we do not have to fund all grants
LCA minutes—Zoe is posting old minutes to web so they are accessible

2014 Publicity
Members continued conversation around possible ways to improve publicity,
including Twitter, Facebook, blog, updating town website, updating our website,
adding resources and support page to town website
2014 Programming
Members are encouraged to look at the list on the last page of the agenda to consider
specific areas where they might like to be a point person.
Discovery Day—Leslie Masson agreed to be point person to explore photo booth at
Discovery Day Members liked the idea of an engaging activity at our table/booth.
Discussion highlighted the success of the booth at the 300th Anniversary's
LexCelebrate! event and the value of having interesting props for people to use
(penguin, funny hats, maybe artist props)
Spring fundraiser— Timing suggests fall is better timing. Possible collaboration
with Munroe Center for the Arts for an evening event where Munroe could co-
sponsor The church hall they have been using can hold 200 people comfortably and
invites us to reach out across the community

Patriots'Day- Members shared brainstorm around ways to participate in Patriots'
Day Parade Lynne shared an inspiring illustration of a possible walking contingent.
Participants would wear black and sandwich boards depicting forms of arts & culture
Cristma will submit application as a walking contingent—6 — 18 people We can
invite all grant recipients and also all participants in Open Studios

Community Center - Suggestion is to request addition of picture rails in all rooms
Cristma will reach out to Deb Mauger to ask whether Board of Selectmen would like
to charge us to make recommendations about the Community Center including
(a) art for the opening
(b) art for ongoing and permanent installations
(c) designated gallery space for the Lexington Council for the Arts
