A quorum of 5 was present at 9:35 AM. Members Present: Laura Hussong, Chair; Jon Himmel, Florence Koplow, Charlotte Rodgers (Director, Human Services Department), Karen Simmons (Director, Recreation Department), Sheila Butts (Assistant Director, Recreation Department) Members Absent: Leslie Zales Also present: Robert Pressman, Nancy Adler, Barb Deveau from Human Services Meeting called to order at 9:35 AM with a quorum of five. Minutes: The minutes of the April 14, 2014 meeting were approved unanimously. Motion: Sheila Butts/Second: Karen Simmons Handouts: Laura handed out the CCTF Executive Summary and the CCAC Mission and Guiding Principles documents so we can refer back to these documents as we make programming recommendations. We will discuss the issues surrounding the soft vs hard opening in another meeting. Charlotte mentioned that it would be useful for the committee to hear from staff about what it takes to run and staff a program. Presentation by Charlotte Rodgers on the Lexington Nutrition Site Charlotte explained what the current nutrition programs at the Senior Center are: how they operate, what the goals are, how they are true "programs" run by the Human Services Department. This information will help us to plan programming where for instance seniors might eat at LexCafe, and other participants would have a different food option. Food service is complicated, and the current plan for the community center only has a warming kitchen. The Board of Health regulations are important to know so appropriate planning can be made for programs that potentially involve food. For Human Services, the first priority is to have the existing meals programs. Adding capability is a lower priority, but it could be vending machines, fresh fruit, or some other simple foods. Master Matrix Jon's matrix has 600 activities now, with perhaps 90 duplicates. He kept track of where the activities came from (Recreation, CCTF Survey...) . He created categories and sub-categories and types of space that we will later be able to sort on. These include: outside, elsewhere, gym, kitchen (among others). He has fine-tuned activity classifications, such as art, music and theater, health, games, computers, dance, lecture, which enabled him to find duplicates. He would now like to sit with staff and make sure the matrix reflects what they are doing now, and come back to the group. Other critical needs that can be reflected in the matrix: equipment needs (part of our charge). Nancy Adler mentioned that her COA Programs group is considering young seniors (60-75) and intergenerational in their current discussions. She agrees this matrix is an important starting point. Jon feels starting from a blank slate is too daunting; this matrix, of current programs, ideas we have heard, and programs we know we want to provide IS a good way to provide momentum and a bit of organization. Florence wants to make sure we talk about ideas that are coming from the community. That topic will be an agenda item on the next meeting. Future Meetings: Wednesday May 28, 2014 1:00 - 3:00 PM Monday June 9, 2014 9:30 - 11:30 AM Monday June 23, 2014 9:30 - 11:30 AM Karen Simmons will arrange for rooms. Meeting adjourned at 11:25 AM with a motion from Sheila Butts, second from Karen Simmons.
