Minutes of Meeting of July 31, 2014
Final
A meeting of the Ad hoc Community Center Advisory Committee Programs Group was held
on Thursday, July 31, 2014 at 8:30 AM the Parker Room (G-15) at the Town Office
Building, 1625 Massachusetts Avenue.
Members Present: Laura Hussong, Chair; Jon Himmel, Karen Simmons (Director, Recreation
Department), Sheila Butts (Assistant Director, Recreation Department), Charlotte Rodgers (Director,
Human Services Department)
Members Absent: Florence Koplow, Leslie Zales
Also present: Barb Deveau (Senior Services Coordinator)
Meeting called to order at 8:30 AM with a quorum of five.
Minutes:
The minutes of the July 24, 2014 meeting as amended were approved unanimously.

Member Comments
When the COA report from its Programs committee is ready, Jon will enter all of its entries into the
matrix. Duplicates of existing entries will be marked as "d".
Barb asked if the "s" in the matrix could be changed to an "o" for "offsite".
Staff will continue to look at how other community (and other) centers run their sites.
Master Matrix
We started by considering what the Lexington Community Center will look like in 2016. Who is
there at different times of day?
Early opening for fitness-only at 6am or 6:30.
When staff arrives at 8 or 8:30 we expect to see adults, moms with tots...these are the core
hours with core staff.
From about 3:30-7 we expect to see students, young adults.
After dinner we expect working and other adults, public meetings.
Summers and school vacations are different
Thursday afternoons during school year will see elementary school families.
Friday nights and weekends we expect to see families, youth, and all adults.
We will now start to look at adding onto the existing schedule with that usage pattern in mind. The
current matrix contains everything REC and Human Services already do, plus wishes from them and
the community. We need to determine, for the wishes, when and how they will run.
Additional hours and programs will require additional staff to manage the building and the activities.
Additional staff will also be required to run new programs during extended hours. We will refine
estimates at our next meeting.
Action Items
Jon will modify the matrix and get it to staff
Jon will add a "Remarks" column for scheduling comments

Jon will highlight in blue the fields staff will fill in: Location, When, Specific Space
o
set-up, Program frequency, #meetings, Remarks
Jon will sort the matrix by Major Category, Sequence, Category
o
Staff will then add information to matrix and get it back to Jon by Tuesday.
Staff will fill in all of the items Jon has highlighted in blue, for all of the non-"d" and
o
non-"g" line items
Jon will create a new matrix for the meeting on Thursday
