Minutes of Meeting of July 24, 2014
Final
A meeting of the Ad hoc Community Center Advisory Committee Programs Group was held
on Thursday, July 24, 2014 at 8:30 AM in theSelectmen's meeting room at the Town Office
Building, 1625 Massachusetts Avenue.
Members Present: Laura Hussong, Chair; Jon Himmel, Karen Simmons (Director, Recreation
Department), Sheila Butts (Assistant Director, Recreation Department), Charlotte Rodgers (Director,
Human Services Department)
Members Absent: Florence Koplow, Leslie Zales
Also present: Barb Deveau (Senior Services Coordinator)
Meeting called to order at 8:33 AM with a quorum of five.
Note: The scheduled meeting of July 17, 2014 did not have a quorum.
Minutes:
The minutes of the July 10, 2014 meeting as written were approved unanimously.

Member Comments
Laura mentioned that Lexington Community Farm committee members Pamela Tames, Nancy Gold,
and Linda Levin contacted her and she will be meeting with them in August.
Discussion of kitchen issues
Charlotte reported back to us on a meeting she attended with Gerry Cody, the Board of Health
Director, concerning our questions about the proposed kitchen. Charlotte will bring a document to
the next meeting that interleaves our questions with Mr. Cody's answers.
Summary:
Only essential personnel can be in the food prep area if it is to be served to the general public
For classes, only the teacher may be in the kitchen. Food from a class is NOT intended to be
served to the general public
A 'food protection manager' with ServeSafe is required to serve 'ready to eat' food to the
general public on a catering basis
A large potluck, served to the general public, is not possible
A temporary permit from the food division could resolve the issues brought up in our
questions memo
Additional member comments on Charlotte's report:
there will be a microwave in the public coffee vending area
there would have to be an RFP process if food vendors would be on site permanently
perhaps food trucks could swing by LCC after they finish at Hartwell Ave
These items could be turned into a policy for the LCC
Based on current plans, the license from the Board of Health will be for a warming kitchen
They did not discuss whether any modifications to the kitchen might be necessary
Master Matrix
Jon added information from the TILL document, LABBB email, youth services email, and Diamond
ICE memo to the matrix, and we completed examining that information. Only known data on the
horizon is from the COA and LexFarm.
Going forward: New programs
When considering trials of new programs, will they be 1-time events or of short duration?
We should categorize Ns: done by vendor, staff, or citizens
Vendor trials do add administrative duties for staff, ie up front work. Recreation is looking to run
trials with vendors or part-time seasonal employees...the budget process begins in September and the
final budget is due in January.

Laura will check back with LABBB about details of their requests
Next Steps
Select offerings for soft opening from K
Grand Opening will have additional offerings
For new offerings, determine frequency, #people, room type, other characteristics.
Determine what additional equipment and budget are required for the proposed program.
Prepare a full-year expanded program \[post grand opening\] schedule, including citizen
offerings
Create report of recommendations to present to full CCAC committee
