HomeMy WebLinkAbout2014-05-12-CCAC-min (Governance Operations Subcommittee) TOWN OF LEXINGTON Governance/Operations Sub Committee of the Ad hoc Community Center Advisory Committee (AhCCAC) Minutes Date: May 12, 2014 Place and time: Estabrook Hall, Cary Memorial Building, 9:30 AM Members Present: Betty Borghesani, Chair, Florence Koplow, Harry Forsdick, Linda Vine Members Absent: Koren Stembridge Also Present: Bob Pressman ________________________________________________________________________________ 1.Meeting called to order at 10 AM. Meeting moved from Estabrook Hall to Stone Room because of conflict in scheduling two meetings in same room. 2.Correspondence from George Gamota noted and included below. 3.Discussion touched on management of CC. If there is a CC Director, how will that person relate to Recreation, Human Services, Youth Services groups, as well as to the general public? To whom will CC Director report in the town for organizational issues. 4.Discussion of telephone survey of similar community centers to determine their policies. Suggested that the survey should be time-limited and require at most 15 minutes, director of community centers would be contacted by phone requesting their input, a convenient time for completing the survey by phone would be scheduled. Survey questions would be emailed to the directors for review before the appointed call. Questions for survey included: a)Governance topics What departments are housed in CC Is there a specific director of the CC Can you send us an organizational chart Are there specific governance document/by-laws and can you send them b)Building use Sign-up for space use policy and priority Fees for use – sliding scale, differences for town vs public, non-profit vs profit Is there a policy for use by non-town residents Any enterprise fund activities Membership vs drop-in, fee involved Electronic surveillance on entering Liability waiver Fee for special use of space or equipment – as gym, exercise machines, video equipment Do they allow private functions – weddings, bar mitzvahs, other private functions Do they use a tent c)Is there an advisory board for the Community Center Who sits on it Who appoints it How does it relate to CC director d)Hours for the community center Who is in charge evenings or weekends e)Volunteers Who manages them Who trains them What do they do – some examples f)Information center Who manages What kinds of information Is it live person or computer kiosk g)Other suggestions Harry will develop these questions with input from all and put into spread sheet. Betty will create list of community centers to survey, including contact data. Committee members will each survey several community centers 5.Next meeting May 22 at noon at 4.
