Minutes November 18, 2013

Present: Zoe Perry Wood, chair, Emily Passman, Victona Campos, secretary, Jean Hart;
and Cnstma Burwell, Regie O'Hare Gibson, Lynne Klemmer, Diana South., Jessie

Zoe called the meeting to order at 7.27 pm
Topics discussed.
• October minutes
Emily Passman moved approval of Oct. minutes, Victoria Campos seconded.
After brief discussion, the motion carried by a unanimous vote
Note Zoe suggested future minutes could be housed on web on a google account
and she will circulate account information to the group
• Treasurer's report
Diana South presented updated account information and reviewed items in
question. Diana is working from the state's template to make sure our accounting
is delivered to the state in the proper format.

Funds available for grants $4,622 06

+ FY2014 MCC allocation (- 5% for administrative funds)

We have $2,059 65 ("Patron's Fund") of our own local money
• Zoe applied for grant on behalf of us —LCO grant—to create gallery space at The
Munroe Center for the Arts, as was discussed at the last meeting However, there
is problem with accessibility Zoe talked to Tom Griffiths Zoe shared the idea
from this group about possibility of installing a chair lift. This cost might be in
range of$100,000 However, after discussion with Tom, it sounds like a
$250,000 cost to solve the problem due to ceiling clearance and other problems,
and Munroe has other priorities at this time, including the driveway and parking
lot.
Discussion about whether we could try to keep the grant, but ask the grant-maker
to let us move the location of gallery to new Community Center if the town
agreed to that idea? Could we get that in place by time CC opens? If next fall,
the group thought it could be possible and should be discussed as there is so little
town space for public art/ art displays /gallery space Agreed to explore further
but that Zoe needs to get back to state within about two weeks Jessie agreed to
write to Michelle Ciccollo and will copy the group a s.a.p
DISCUSSION AROUND GRANT APPLICATIONS
Our goal for the meeting was to review all grant applications, identify all grants which we
could support, and identify any grants which do not meet the requirements For example,
if a grant application does not have a venue, or if it proposes using an inaccessible
location, we need to identify these problems as they are reason for denial
In earlier Treasurer report, we noted groups who had not collected awarded grants We
agreed to watch this as it is discouraging to award funds to a group, see them go
untouched, and know that we turned someone else down or only offered them partial
funding We agreed to try new ways to follow-through.
We identified grants where we have questions (yellow highlight), and grants where they
appear to meet our initial criteria (green highlight) The total amount of possible
qualifying grant applications exceeds available funds and we will work through this at
our next meeting
