3. Minutes from previous meeting -- -April 4, 2013 Worlds Fair
May 24 - - -28 visit from Antony Officials
a) Guests -- -Dawn shared names of guests, with updates (deletions /additions to previous list). Discussion about
who would be hosted where. Thoughts, to be confirmed with Pascale, about same. Host homes so far:
Frawley, Kiernan /Nishamura, Galaitsis, Brandin, Johnson, Poole. Some of the delegation will stay a few extra
days beyond Tuesday, May 28 ". Options were considered as to their continued housing with host, or, in some
cases, switch to another spot for the remainder of their visit (011iveys may stay w/ Brandins and then Pooles).
b) Itinerary - -- Consideration of all aspects of the visit. Lots of discussion about options. Dawn made changes (2nd
Draft now) based on report from Pascale as to what the delegation would like to do (trip to Boston, trip to
seaside spot Cape Cod? Martha's Vineyard ?) ... to be continued at next meeting ...
c) Antony Park Dedication and Picnic — we would like to offer a classic New England Picnic. Lunch provided for
Antony guests, work out with caterer having meals available for others to purchase. Discussed what kind of
music — French or American. Jazz was suggested, maybe both French and American.
d) Gifts — They should be exchanged at the Saturday night dinner. We will work on what to give to them as a gift.
e) Item for Time Capsule — the French are proposing to provide a medallion to be placed in the time capsule. We
would like to also put a copy of the Antony Park plans, and perhaps our signature pin. Everything has to be small
because the time capsule is small.
f) Other — Whether to have a table at Citizens World Fair was discussed. Given all the other time pressures we
declined. Information was provided about the upcoming French concert in Lexington on May 10
Discovery Day - -- Dawn introduced considerations about out booth. We will need to work out a schedule for who
will oversee it, given that some will be attending to the visitors during the day. Initial thoughts presented for plans
for the contents of the booth; much still to be detailed and worked out.
Antony Park - --
a) Project update - -- The project went out to bid and due to the shutdown of Town Hall, the lack of notice of the
new date, and other factors, we received one bid for over $100k. It was expected to be around $30,000. There
are issues involving public bidding, but the Attorney General's office has given us permission to break the
project into smaller parts. Dave Pinsonneault is working on it. Plants on order. Trees may arrive next week.
b) Donation updates - -- Dawn reported$5000 received from Fund for Lexington and another $5000 from Trustees
of Public Trust, coming to $10,000 altogether. 5 of the 14 trees are sold, leaving 9 more currently available.
c) Art auction - -- Instead of an auction, the art work left to disperse will be made available for purchase at set
prices. This is "in progress" as prices need to be determined. Kerry will work on designing something we can
put into the window display to explain.
d) Direct solicitation - -- We need to continue to work at speaking with people about donations until we have
reached our $75k goal (raised at prior meeting). Next meeting we will look at list of donors and who is still
available to speak with for contributions.
Minutes - -- on motion duly made and seconded, the minutes from the meeting of April 4 t " were approved.
Next Regular Meetings - -- Thursday, May 9 t " at 7:00 PM; Tuesday, May 21 St at 7:00 PM.
Respectfully submitted, Maureen Poole
