Friendship Dinners invitation 2. Antony Park Fundraising Goals 2012 -2013 3. Giving Levels document 4. Sample "Friends of Antony Park" stationery 5. Draft Itinerary for Visit 6. Minutes from previous meeting - -- February 27, 2013 Antony Park a) Project update - -- Dawn: bidding documents are ready. Discussion of costs: major expenses; money spent on design; construction contract - -- impact on goal. Group decision was to raise fundraising goal to $75,000 given that projected cost of contract is more than originally anticipated. b) DinersAmicaux — Friendship Dinners - -- Three dinners scheduled are not yet sold out. Discussion of how to fill remaining dinners. c) Donation updates - -- Amount raised to date: $50,665. Discussion of possible sources, grants? Kitty will contact Garden Club regarding potential giving of a tree. Dawn will reach out to Jay Kaufman about consideration of French Consul contributing a tree. d) Art auction and display - -- Kudos Kerry Brandin, Christina and George Gamota, and Dawn McKenna who set up the display at the former 344 store next to CVS that is owned by Kevin McGuire . We are grateful to Kevin for his generosity. Discussion about method(s) of selling the art: talking about auction online; Kerry suggested the nonprofit "Bidding for Good" and will look into it. e) Direct solicitation - -- i) Giving Categories and already determined. See Giving Levels document. ii) Who will solicit individuals? We have 10 of the 14 trees to still available. Placement of Plaques to identify contributors. Thoughts of whom to approach. iii) Mailing materials - -- creating a letter (to be printed on the very attractive new stationery created by Kerry) which would accompany the Giving Levels Document, and be sent to the larger group on our Constant Contact list. Antony Officials Visit in May a) Itinerary - -- Lots of discussion about each day's events. Consideration of possible venues for the Saturday night dinner, the picnic after the dedication on Monday, and the Tuesday brunch. Conversation about where the visitors will stay. Some already have hosts. The Inn will not be ready, so suggestion was offered of providing option A or B (hotel or family residence), allowing each visitor to choose what he /she would prefer and find most comfortable. In the event some are in a hotel, plan is to have a "dedicated person /couple" to chauffeur hotel guests whenever /wherever needed. What we know so far: Kitty and Tony Galaitsis offered to host, having one double room with two single beds, and another single bed room. Jean -Marie and Frangoise Delecroix are staying with Shirley and Bud Frawley. Bill and Maureen Poole have been in touch with Christian and Annette 011ivey, and will be their "dedicated drivers." Need to check with Fred Johnson, who had offered to host earlier. Think Anny Leon may be staying with Fred. He may be able to accommodate another one or two. Think Pascale Masselin may stay with John Patrick. Think Helen Hua may be staying with John Kiernan and Brenda Nishamura. We will confirm and a list will be prepared with placements. Shirley Frawley has offered to help contact possible hosts, if we find more are needed. b) Antony Park dedication - -- 12:30 PM on Monday, May 27 "Lots of discussion about options: the ceremony; picnic in the park (Plan B ... related to weather); caterers; music ... to be continued at next meeting. c) Item for time capsule - -- Thoughts: Jean Hart's poster, reduced in size, rolled up; French /U.S. flag pins attached to a card; the plan for Antony Park, rolled up; small flags of both countries; check with Karen Girondel to see if there are any artifacts from the student exchanges. d) on motion duly made and seconded, the minutes from the meeting of February 27 were approved.
