Dear Florence:
Thank you for the report on the most recent quarter of LexMedia's operations. The Communications
Advisory Committee has reviewed the report and has the following comments.
First, the CAC would like to thank the retiring members of the Board for their commitment and time in
fostering LexMedia's growth. The Annual Meeting was filled with energy and articulated a clear vision
for the next year.
The Committee noted in the report that fundraising was very low for this past quarter. From past
reports, it is clear that there is cyclicality to fundraising since it is heavily reliant on DVD sales (and
therefore events like LHS graduation). As mentioned in our last review, having year- over -year data
would be helpful in this report.
Training of members of the police department was an excellent addition to the Town training. It is
noted that there are no other figures on Town board or employee training. We have assumed that this
will continue to occur on a regular basis and that LexMedia will inform the Committee if there are issues
of attendance and /or scheduling.
With Programming, the year to year contextual data was very helpful. LexMedia's growth in public
programming continues and was easy to see; 84% of LPTV programming is now produced outside of
LexMedia compared to 68% for the same time last year. This is a testament to the training and
engagement of the community.
Thank you for providing the On Demand information with year to year comparisons as well. The 20%
increase over last year is an excellent rate of growth.
With over 50 government meetings covered in this quarter, it is clear this is a significant effort. For
future reports, it is highly recommended that a note is added that details required -hours spent versus
non - required hours would be helpful. The level of indexing is almost 100 %, a marked improvement over
the situation just a year ago and we commend LexMedia's efforts in making this happen.
We are hopeful that by the next report off -site storage will be achieved. If there is anything more the
CAC can do to move this effort along, please let us know.
There was no update on the Emergency system. We are assuming that progress is being made. Please
provide an update in the next report.
The updating of the Compliments and Complaints is noted. Going forward, description of the complaint
(or compliment) should be included. As a minor observation, the tabs at the bottom of the chart should
be updated to reflect 2012 and 2013 complaints.
The Committee is pleased with the way LexMedia is handling the funding for operations, particularly by
paying for improvements with existing assets (the sale of the truck). We look forward to seeing
additional progress toward the digitalization of the equipment.
The next meeting of the CAC will be on Thursday, Feb 21 and we would welcome you and /or other
representatives from LexMedia.
