HomeMy WebLinkAbout2006-07-11-ARTS-min Lexington Arts Council Meeting Minutes for July 11, 2006 Present: Joan Reddy (out-going Chair), Barbara Ciampa, Janet Post Absent: Mary Trometer, William Janovitz, Allan Adolph, Marion Kilson The meeting was called to order by Barbara Ciampa, who determined this to be a “workshop” as the required quorum of five was not present. Officers will be elected at the next full meeting. In the meantime, Barbara Ciampa will act as Chairperson, Mary Trometer, Treasurer and Janet Post, Secretary. Janet will deliver the Treasurer’s records to Mary Trometer and ask her to communicate with former Treasurer, Connie Kobuko, and with the Town of Lexington’s accountant. Funds: Joan Reddy stated our need to know if we still have all of the money collected for the Library gift ($5,000). She hopes that none of it was absorbed into the grant money. Barbara will review the old Patrons Fund list to see if it should be expanded. The Ellen Dimmock Fund is not Lexington Arts Council (LAC) money, but LAC administers it and presents the $250 award. The Dimmock Fund only had $190 this year, so LAC’s Patrons Fund was accessed to make up the difference. Time line: The LAC Treasurer obtains the recipient’s name from the Head of the School Music Department on May 1. LAC instructs David Williams to make out the check which LAC then awards at LHS Awards Night. It seems that some of LAC’s MCC grant remains, because two grantees never submitted their reimbursement forms. We need to know how much of last year’s LAC grant money is unencumbered. School applicants (teachers) were paid. Joan will determine which artists have been paid and which still need to submit their reimbursement forms. These seem to include Cynthia Ardell of Chicken Soup Cabaret ($140), Marcia Steere of Sharing a New Song ($750?), and Susan Harris of Three Apples Story Telling ($250). Note: “Seems to” is used since the records are not really clear. Janet will get the financial details from the relevant accounting people in the Town of Lexington and pass the information on to Mary Trometer. LAC needs to tell MCC our financial situation by September 1. Local Cultural Councils are not permitted to accumulate unspent dollars. Also by September 1, LAC needs to publicize the MCC grants to cultural organizations in Lexington. Janet feels that we should expand our efforts with publicity.
