Minutes Town Celebrations Committee December 10, 2014 201 Bedford Street Cafe Members Present Suzie Barry, Kim Coburn, Karen Gaughan, Sondra Lucente, Lorain Marquis, Wayne Miller, Bill Mix, Henry Murphy, Rich McDonough and Barbara Manfredi Members Not Present Bob Tracey, Julie Miller, Charlie Price, Cerise Jalelian, Geetha Padaki, Linda Dixon, Sandy Podgorski, Paul Jenkins, Carol Flynn, Mary Gillespie, Tanya Morrisett and Dave Taylor Guest Linda Levitt Business The meeting was called to order at 7:02. The major reason for tonight's meeting was to decide whether or not to have the Old Guard back for Patriot's Day. The OG contacted Suzie. The point person is Simon. The OG was here last year in April and September. They would like to come back. At Patriot's Day last April they attended many events. Cost associated with them returning is uncertain. The chair(s) need to write this request and send to the Board of Selectmen for approval. They need to approve due to costs associated with this group, i.e. police, security. The TCC discussed what arrangements were needed, i.e. space for the OG if weather is inclement. Cost for the Town…Do they need to vary their performance since they were here last year…Group felt a conversation with OG was necessary to determine what groups they'll be bringing. Rich made a motion to the committee to vote on having the OG come to Lexington on Saturday, April 18th. "Motion is to accept the request of the Old Guard to participate in Patriot's Day weekend events including a stand alone event for the Old Guard on Saturday April 18, 2015 on the Battle Green and participation in the afternoon parade on Monday April 20, 2015." The committee unanimously voted to accept the request of the Old Guard. Lorain passed out last year's schedule for Patriot's Day. Suzie explained to the co-chairs and the committee the contacts that used to be made, making sure that all information and dates are accurate. The groups expect us to make the contact. Suzie said she would write to these contacts saying she is no longer the chair of the TCC and naming Lorain and Rich as the new chairs. Lorain and Rich then went through the list of the events and who they will have to contact. Lorain then passed out the 2015 procedures for the Patriot's Day Parade with accompanying names assigned to each task. This was followed by a discussion about who needs a cart and what their job was. Applications have not been returned so far. Linda will handle Parade Ambassadors, P.R. and clergy. Information about invitations to VIP's is on flash drive.
