<br />TOWNOFLEXINGTON <br />AdhocCommunityCenterAdvisoryCommittee(AhCCAC) <br />ProgramsGroup <br />Minutes of Meeting of July 31, 2014 <br />Final <br />A meeting of the Ad hoc Community Center Advisory Committee Programs Group was held <br />on Thursday, July 31, 2014 at 8:30 AM the Parker Room (G-15) at the Town Office <br />Building, 1625 Massachusetts Avenue. <br />Members Present: Laura Hussong, Chair; Jon Himmel, Karen Simmons (Director, Recreation <br />Department), Sheila Butts (Assistant Director, Recreation Department), Charlotte Rodgers (Director, <br />Human Services Department) <br />Members Absent: Florence Koplow, Leslie Zales <br />Also present: Barb Deveau (Senior Services Coordinator) <br />Meeting called to order at 8:30 AM with a quorum of five. <br />Minutes: <br />The minutes of the July 24, 2014 meeting as amended were approved unanimously. <br />Motion: Charlotte/Second: Sheila <br />Member Comments <br />When the COA report from its Programs committee is ready, Jon will enter all of its entries into the <br />matrix. Duplicates of existing entries will be marked as "d". <br />Barb asked if the "s" in the matrix could be changed to an "o" for "offsite". <br />Staff will continue to look at how other community (and other) centers run their sites. <br />Master Matrix <br />We started by considering what the Lexington Community Center will look like in 2016. Who is <br />there at different times of day? <br />Early opening for fitness-only at 6am or 6:30. <br />When staff arrives at 8 or 8:30 we expect to see adults, moms with tots...these are the core <br />hours with core staff. <br />From about 3:30-7 we expect to see students, young adults. <br />After dinner we expect working and other adults, public meetings. <br />Summers and school vacations are different <br />Thursday afternoons during school year will see elementary school families. <br />Friday nights and weekends we expect to see families, youth, and all adults. <br />We will now start to look at adding onto the existing schedule with that usage pattern in mind. The <br />current matrix contains everything REC and Human Services already do, plus wishes from them and <br />the community. We need to determine, for the wishes, when and how they will run. <br />Additional hours and programs will require additional staff to manage the building and the activities. <br />Additional staff will also be required to run new programs during extended hours. We will refine <br />estimates at our next meeting. <br /> <br />
