<br />Lexington Arts Council Meeting <br />Minutes for August 21, 2006 <br /> <br />Present: Barbara Ciampa, William Janovitz, Janet Post, Mary Trometer <br />Absent: Allan Adolph <br /> <br />The meeting was called to order at 7:35 by Barbara Ciampa. Officers were elected: Barbara <br />Ciampa, Chairperson; Janet Post, Secretary; Mary Trometer, Treasurer. Barbara noted that we <br />must take the on-line Local Cultural Council (LCC) Basics Training Course and register with the <br />Massachusetts Cultural Council (MCC) before we can be official members of LAC. <br /> <br />th <br />After noting that remarks about the Dimmock fund need to be clarified, the minutes of July 11 <br />were accepted. <br /> <br />Mary Trometer will meet with the Town of Lexington’s financial personnel and talk with <br />MCC’s financial people. She will present a treasurer’s report at the next meeting. <br /> <br />Rather than be part of a group effort in presenting a gift to the Library, the members of the <br />previous Lexington Arts Council (LAC) preferred to make a separate donation. They decided on <br />a sculpture, to be paid for from the $5,000 Patrons Fund. Barbara and Allan Adolph will meet <br />with the Cary Librarian about it and will report back to LAC before Allan’s term expires on <br />st <br />October 1. <br /> <br />Bill Janovitz will be responsible for the Patrons Fund. Mary gave him a copy of the letter used <br />for the last public solicitation (2004). Previous Council members felt that the last public <br />solicitation wasn’t worth the effort—1553 letters were sent which yielded $583.97 after <br />expenses. Bill will research the feasibility of future public solicitations for this Fund. <br /> <br />Local Cultural Councils are required to maintain a minimum of five members. Mary will send us <br />copies of the brochure that she designed for Discovery Day, which will be useful in our <br />recruitment efforts for new members. <br /> <br />Re unencumbered funds: Barbara noted that there are 3 grantees who did not submit their forms <br />for reimbursement. They have to perform within a year from the time they are acknowledged as <br />a recipient. Cynthia Ardell submitted her forms in April, but it wasn’t clear that she was <br />reimbursed. Susan Harris will perform on September 28 at 2 p.m. at Cary Library. Marcia Steere <br />of Sharing a New Song did not submit a form. Mary will call all of these grantees and clarify <br />their standing. <br /> <br />st <br />The public must be notified about LAC/MCC grants and deadlines by September 1. Janet will <br />get a list of school principals. Barbara will devise a letter which she will send to us for review. <br /> <br />After reminding us that we must complete the Basics Training Course, Barbara adjourned the <br />meeting at 9:15 p.m. The next meeting will be at 7:30 p.m., September 11, Rm. 111 in the Town <br />Office Building. <br /> <br /> _________________________________ <br /> /s/ Janet Post, Secretary <br />
