<br />Community Preservation Committee <br />Thursday, November 20, 2008 <br />Legion Room <br />2:00 pm <br />Present: <br />Betsey Weiss, Chair; Marilyn Fenollosa, Vice Chair (arrived late); Joel Adler, <br />Norman Cohen, Jeanne Krieger, Wendy Manz, Leo McSweeney, Nathalie Rice, Admin. <br />Asst.; Sandy Shaw. David Kanter, CEC liaison was also present. <br /> <br />Absent: <br /> Dick Wolk. <br />The meeting was called to order at 2:05 pm. <br /> <br />The purpose of the meeting was to review four projects before the CPC for FY 2010. <br />These included Archives and Records Management, Cary Vault Climate Control, the <br />repair of the Cary Hall Roof, and Town Office Building Renovations. Mr. Goddard of <br />Facilities was in attendance for these discussions. <br /> <br /> <br />1.Archives and Record Management/Records Conservation and Preservation <br />- <br />Town Clerk, Donna Hooper, and Archivist, Nasrin Rohani were in attendance to <br />speak to this project. Donna Hooper explained that the proposal before the <br />Committee is the second in a five year funding request to protect the Town’s <br />historic municipal records and documents. She said she would be seeking <br />$150,000 in FY 2010 and that most of the work this year would focus on records <br />from the 1700’s and 1800’s. She explained that they have received two proposals <br />from document conservators, and that they would bid one year’s worth of work <br />out at a time. The Committee was supportive of this project, and asked Ms. <br />Hooper whether it would be beneficial to have two year’s worth of funds in <br />FY2010. She replied that she did not think that this would save significant money, <br />and that they would only need one year’s funding. <br /> <br /> <br />2.Cary Vault Climate Control <br />- Ms. Hooper explained the history of this project, <br />which was originally approved at Town Meeting in spring of 2006. Town <br />Meeting approved $60,000 at that time and a subsequent $15,000 at the 2007 <br />Town Meeting which was the remainder of the shelving funds. To date, shelving <br />for the vault had been installed, and has come in under budget. The focus has now <br />shifted to the HVAC and fire suppression work, which went out to bid in early <br />2008. Only one bid was received which was rejected because the contractor did <br />not meet qualifications outlined in the specifications. At this point in the process, <br />Ms. Hooper explained, Facilities was brought in to take over. <br /> <br />Mr. Goddard then updated the Committee on the recent progress of the project. <br />He said most of the work on the HVAC will be covered by the remaining monies <br />from 2007/08 and that the fire suppression work will be covered by requested <br />$45,000. He said he would expect the total for this work to approach the <br />$100,000 mark, and anticipated that he would receive between 5-10 bids. He said <br />his staff will supervise much of the work, which will result in a savings to the <br />Town. The Committee reviewed a Probable Cost estimate from <br /> 1 <br /> <br />
