Minutes of April 9, 2015 2. Lexington- Antony Sister City Treasurer's Report, 12 April 2015 3. Letter to Dawn McKenna from Community Endowment of Lexington 4. Copy of Maureen's 5/22/15 email to Antony Working Group, replying to Kerry's 5/20/15 email Minutes The April 9, 2015 minutes were reviewed. Upon motion duly made and seconded, the April 9, 2015 minutes were approved as amended. Antony Park Update The Community Endowment of Lexington approved a grant for the Lexington- Antony Sister City group of $5000. An evaluation report is due by January 8, 2016. Park Status Report The trees will be replaced when all concrete and stone work is completed. In about 2 weeks, water will be brought in. DPW has a contractor to begin Phase II within the $10,000 budget for hardscape. Dave Pinsonneault and the Tree Warden, Joel, along with Lynne Giescke from Studio 2112 will meet with the contractor who will be doing the Phase II work. It should take 3 weeks from when "shovel is into ground" to finish Phase II. We are waiting for Dave P. to give us the actual cost of the sprinkler, which may be less than the $6000 that has been set aside. We will need to raise money for etchings on center flat stone and levels of contributions of people. Plaques for benches will be done by the town. No letters for fundraising will be sent out now. Awaiting quotes for specific things needed for Phase III. The $10,000 includes benches and plants we have already. Walkways will be crushed stone. The town will help with what they can do. The project is managed by the town, hiring contractors for some parts, doing work internally for other parts. There was a discussion about putting up a banner to identify the construction site. Considerations included timing of such a sign (now, or wait until stone work is done) - -- size -- -cost. A motion was duly made and seconded that Kerry look into the cost of a temporary sign for Antony Park, how long it would take to make, and the cost, to be put up at the time that Phase II begins. The motion passed by a vote of 7 to 1. Treasurer's Report The 5/15/15 balance including planned (committed) spending was $2,049.83. Added to this will be the grant check of $5,000, on June 5, 2015. Included in the discussion of finances, there was a question about the validity of $6,000 going to Studio 2112. Dawn will make an inquiry regarding this expense. Discussion of whether Antony Working Group would remain under the Tourism Committee A motion duly made and seconded was to postpone this conversation until after completion of Phase !Hof the Park. Discussion involved definition of "completion" and also that organizational decisions should be subsequent to a broader consideration of the purpose and mission of our group, with that culminating in how to achieve same, which would then lead to the analysis of organization under, or not under, the Tourism Committee. The motion to postpone failed by vote of5to3. Another motion duly made and seconded was to allow for the discussion after completion of the Park as determined by our committee. This passed 6 to 2. Therefore, at a point in time following the committee's agreement that the Park has been completed, we will take up a consideration of future goals and purpose of the Antony Working Group, and make a decision as to how we want to be organized. Programs Christophe arrives on the evening of July 10th and leaves late afternoon or evening of July 14th. Several suggestions were made for various events that he might enjoy. Tony will contact Colin, his host, to see what might be agreeable to them both. Plans are in the works for a Bastille Day celebration at Wilson Farm. Marie - Tristan will give us information as to what is being planned and we can discuss further. La Musique en Fete is scheduled for May 30th from noon to 4 PM, at the Fairgrounds. Marie - Tristan presented the schedule and list of various events and vendors who would be present. As occurred last year, Lexington- Antony Sister City information was on display at the French themed Tourism table. The Community Picnic at the park, to be held on May 315t from noon to 3 PM has been moved closer to the center, and will be at the Fairgrounds. Voyages en Francophonie 2016 will be held on March 12th, 2016, hopefully at the high school. Application has been submitted to the high school and we will know by August. A delegation from Quebec will lead the group. Future Meeting Dates The meeting scheduled for June 10th will not take place, but be rescheduled for later in June. Dawn will send out possible dates for late June, and for September. Respectfully submitted, Maureen Poole
