1. Meeting opened by Ms. Barry at 3:37 pm
2. Motion to accept minutes from last meeting by Ms. Barry, seconded by Paul
O'Shaughnessy, approved unanimously
3. Florence DelSanto was asked about Lex Media help in promoting a promotional video
for Lex250. Paul O'Shaughnessy suggested contacting Rick Beyer, Barry Cunha the
Lexington Historical Society, and Ms. Fallick and Lex Media for video that may already be
present from prior events such as Lex 300th to place in the promotional video. Mr.
Conners suggested also looking at other States Rev 250 sites for any ideas, and gave as
an example the web site address for america250.org. The length of the video was
discussed with the consensus being that it be longer than one minute but less than five
minutes. The hope is that it can be ready in time for Patriots' Day. Ms. DelSanto will
coordinate with Steve Cole on specifics for the video, such as who is to write the script,
produce it. Ms. Barry stated that there is a movement to coordinate marketing and
promotion efforts with the surrounding towns of Lincoln, Concord, Bedford, Arlington,
Hanscom Field and the Minuteman National Park, but not infringe on each towns'
unique planned events.
4. Sean Duggan was asked how to handle all the marketing and communication needs for
promoting and getting the word out about Lex250 and to do so in partnership with the
towns mentioned above. He stated that the town already has several web domain
names it owns such as Iex250.com, net, and org., all of which would be available to us.
Ms. Barry asked how we would use the website and Mr. Duggan said the usual way was
to tie it into the town website. She also suggested contacting the committee in charge
of the Plymouth 400 for ideas and recommendations. Ms. Roy emphasized the need to
promote Lex250 on all social media sites such as twitter, Facebook, etc. Mr. Duggan
stressed the need of having a point person in charge of the website to handle content,
logistics and maintenance etc.
5. The logo contest is in full swing. In coordination with the town counsel and trademark
questions three documents were sent to our committee pertaining to all aspects of the
logo contest. They are: Logo contest rules (including eligibility, submissions, and
Application process), Assignment, and Release documents with some edits by Ms.
Jalelian. Ms.Tung spoke with Mr. Duggan about using the town drop box for the logo
contest. Ms. Tung also wanted to finalize the time line for when the submissions for the
logo contest should be and Ms. Barry stated it would be nice to have everything
completed and winners decided prior to Patriots' Day when the winners could be
announced, with the possibility of having a float dedicated to Lex250 and the premiering
of our new logo. It was decided that if the judging was complete 4-6 weeks before
Patriots' Day that would be sufficient to accomplish the above. A date of March 4 was
decided on as the last day for submissions in order to accomplish the above. Ms. Tung
will now notify all the judges with the timelines, and all other necessary information
concerning the contest. A discussion on how much the prize money would be for the
first, second, and third place winners, and Mr. Cole suggested we increase the amounts
previously discussed. A number of alternative amounts was put forth and Mr. Cunha's
suggestion of$1000, $500, and $275 totaling appropriately enough $1775 was
approved unanimously by the committee.
6. The Budget was discussed with the realization that the $50,000 received from the state
secured with the help of State Representative Michelle Ciccolo needs to be spent before
June 30, 2022. Various ideas besides that already included in the budget on how to
spend it were discussed. Ms. Barry also noted that although there is no money in this
year's town budget for our committee she is in talks with town manager Jim Malloy
about the hope of securing funds for the next year's budget and beyond.
7. An online guest presented to our meeting, Gayna Scott, a 1972 graduate of Lexington
High School now living in Tucson, Arizona wishing to help in anyway with Lex250. She is
a DAR with her heritage links dating to a relative being on the Green on April 19, 1775.
She suggested that we try and identify other people in town who also might have links
to April 19. She will work with our committee member and DAR member Ms. O'Leary to
coordinate efforts to help in any way she can.
8. Motion to adjourn by Ms. Barry was made at 5:12, seconded by Mr. Cole and
unanimously approved by roll call vote.
